Additional Event Policies

SAPinsider Summit Chicago is a professional event. All attendees, speakers, sponsors, and staff are expected to treat others with respect and maintain a welcoming environment. Behaviour that is harassing, discriminatory, or disruptive will not be tolerated and may result in removal from the event without refund. To report a concern, speak to any SAPinsider staff member wearing an event badge, or email events@sapinsider.org.

Personal photography for non-commercial use is generally welcome. Video recording of sessions is not permitted without prior written approval from SAPinsider. Some sessions may be designated "off the record" by the speaker - please respect those requests. By attending, you consent to being photographed or filmed in general event areas for SAPinsider promotional use. If you prefer not to appear in event photos, please let a staff member know at registration.

We encourage sharing insights from the event. Use the official hashtag #SAPinsiderChicago when posting. Please attribute quotes to speakers where relevant. Sessions marked "off the record" by the presenter are not to be shared on social media. Be mindful that attendees and speakers come from organisations with different social media policies.

SAPinsider Summit Chicago is a professional conference for registered attendees only. Guests and children are not permitted in session rooms or the exhibition area. Attendees must be 21 or older to access evening receptions where alcohol is served; government-issued ID will be required.

SAPinsider follows venue and local authority guidelines for health and safety. If you are unwell in the days before the event, please do not attend - contact events@sapinsider.org to discuss your options. We reserve the right to update health-related policies as needed and will communicate any changes to registered attendees by email.

SAPinsider is not responsible for personal injury, loss, damage, or theft that occurs on event premises. Attendees are responsible for their own travel, accommodation, and ancillary costs. SAPinsider reserves the right to amend the programme, speakers, and event format as required. In the event of cancellation or postponement due to circumstances beyond our control, SAPinsider's liability is limited to the value of the registration fee paid.

For Sponsors

For Sponsors & Exhibitors

Questions about booth setup, lead retrieval, or co-marketing? This section covers what confirmed sponsors need to know. For information on becoming a sponsor, visit our Sponsor page or email events@sapinsider.org.

The Exhibitor Service Manual (ESM) is distributed to confirmed sponsors approximately 10–12 weeks before the event. It contains all deadlines, booth specifications, shipping instructions, and vendor order forms. Contact your sponsorship account manager or email events@sapinsider.org if you have not received it by that time.

Standard booth inclusions are outlined in your sponsorship agreement. In general, booths include back and side drape, an ID sign, and a directory listing. Items such as carpet, furniture, electricity, internet, AV equipment, and lead retrieval are typically ordered separately through the ESM. Please review your contract for the specifics of your tier.

Move-in and move-out schedules will be detailed in the ESM. Standard labour rates apply during regular hours; overtime rates apply for setup outside standard hours. Early teardown before the official close of the exhibition is not permitted - this will be enforced and may affect future participation. Exhibitors must use closed-toe shoes during setup and teardown, and all booth staff must be registered in the system.

Lead retrieval allows your team to scan attendee badges to capture contact information. The platform used will be confirmed in the ESM. Typically, each staff member requires a separate app licence or device rental - details and ordering instructions will be included in your setup guide. Staff must be registered in the system 4–6 business days before the event to ensure their licences are active. We recommend ordering in advance to benefit from early-bird rates.

A standard badge scan captures attendee name, title, company, and email address. Attendees have consented to this data being collected by exhibitors as part of registration. Data may be used for follow-up directly related to this event. Please do not add scanned contacts to general marketing lists without an additional explicit opt-in. Sponsors are responsible for compliance with applicable data privacy regulations, including GDPR for EU-based attendees.

Sponsors receive a pre-event and post-event list of attendees who have opted in to sponsor contact - this is not the full registrant list. The list is licensed for one-time use in connection with this event only and may not be shared, sold, or used for unrelated campaigns. Please note: SAPinsider does not sell or distribute attendee lists to third parties. Any unsolicited offers to purchase the attendee list come from outside our organisation and should be disregarded.

Yes, confirmed sponsors may use the official event logo and reference their sponsorship status through the end of the event. Logo usage must link to the official event website when used digitally. The event logo and branding may not be used in a way that implies product endorsement by SAPinsider. Approved logo files and usage guidelines will be provided in the ESM. Please submit your own logo in vector format (.AI or .EPS) plus PNG at 300dpi by the deadline specified in your ESM.

Yes. Product demonstrations within your booth space are encouraged. If you expect large audiences, please plan for crowd management so as not to block aisles. Some booth activities - including drone demonstrations, cooking/live fire, or large machinery - require advance written approval. For dedicated sponsored demo theatre slots, contact your account manager as these are limited and allocated by sponsorship tier.

Complimentary passes for sponsor guests are included in most sponsorship tiers - the number will be specified in your agreement. Pass distribution instructions are provided in the ESM. Guest passes grant full event access for the pass type specified.

Both are ordered through the official service contractor forms in the ESM - advance ordering is significantly cheaper than ordering on-site. Power is delivered to a single outlet at the booth perimeter; surge-protected UL-listed power strips are permitted. Convention-centre Wi-Fi is a shared resource and may not be reliable for bandwidth-intensive product demos - a dedicated wired connection or enhanced Wi-Fi can be ordered separately and is strongly recommended if your demo requires a stable connection.

The ESM includes shipping addresses for both advance warehouse delivery (recommended - materials are placed in your booth before move-in begins) and direct-to-show-site delivery during your assigned window. All freight is subject to drayage fees charged by the official contractor for moving materials from the dock to your booth. To reduce costs, consolidate shipments and pack efficiently. Full drayage rates are provided in the ESM.
